3rd South Asian Regional Conference 2021 Colombo, Sri Lanka 
Virtual Research Conference Guidelines 

Thank you for your commitment to advancing, promoting and preserving Music Education in South Asia.  Due to COVID-19 restrictions to ensure safety of the research community, this conference will be hosted from UPVA in Colombo, Sri Lanka and held on online from 23rd to 25th November 2021. We are thrilled that you are a part of this important discourse and look forward to receiving your recorded spoken paper presentation. 
 
All paper presentations will be pre-recorded and we appreciate your support in this regard.  

Please follow the guidelines below to prepare your video recording with the slides (you may or may not use) 

GUIDELINES FOR PREPARING YOUR VIDEO

  • For those using screen capture to create the video for submission, please submit your recording with a resolution that is as good as possible (Maximum 1080P, minimum 720P). 
  • After recording, review your video capture for audio quality. Listen for background noises, popping sounds, etc. If these are present please try to remove these and re-record your presentation. 

Recording options: 
  • Apple Keynote and Microsoft PowerPoint, as described in the links below. 
  • CamStudio (PC Only): https://camstudio.org/ 
  • QuickTime (Mac Only): Included with OS 
  • Video conferencing software that you can record: Zoom, WebEx, etc. 
  • Our recommended approach to record a compatible video from content displayed on your computer screen and voice recorded via the computer, is to record the presentation using Zoom, available to users on most platforms and in most countries:

  • Make sure that your video camera is switched on when recording the presentation via ZOOM. 
  • We have provided some Zoom backgrounds.  The use of these is optional but recommended.

SPECIFICATIONS OF THE RECORDED VIDEO FILE:

  • Duration: 12-15 minutes 
    Video file format: mp4 
    Dimensions: 1920x1080 (Maximum), Aspect Ratio: 16:9 
  • Please note that the final specifications will be checked at the time of submission and files not compliant may not be uploaded. 
  • Please be sure the video includes the title of the paper and the author/s. 

TIPS FOR RECORDING: 

  1. Slides: Prepare your presentation using a multimedia presentation application such as Keynote or PowerPoint. Please keep the presentation slide as clutter free and as clear as possible.  
  2. Please record in a quiet environment
  3. Avoid areas that have an echo 
  4. Rooms can be small 
  5. Use sound dampening options - carpeting, curtains, furniture if necessary 
  6. A strong Wi-Fi connection or a fixed internet connection
  7. If possible, use a good quality headset with microphone close to mouth BUT away from direct line of mouth to reduce “pops.”  Avoid using default built-in microphone on computer especially if the quality isn’t good or it causes a crackling sound. 
  8. Ensure your face is lit and that you are not in shadow or that the background lighting is not too bright.  It is important that delegates can see you as well as hear you.  
  9. When using PowerPoint or other presentation tools you should appear on screen as a picture in picture (as per the example below)

​10.  You may wish to:
  • Blur your background 
  • Use one of the 3rd South Asian regional conference Zoom background image (see download above)  
  • Use a background image from your institution 
11.  Try and centre yourself  both vertically and horizontally so that you remain the focus of the presentation 
​12.  Do a test recording of a couple of minutes and review the sound and picture quality. Make adjustments if needed. 

UPLOADING YOUR VIDEO (DEADLINE: WEDNESDAY, 10TH NOVEMBER 2021) 

  1. If your file size is large, you can send the video file via “WeTransfer” or “Google Drive”  WeTransfer - Link  https://wetransfer.com
  2. Upload your MP4 video file to  ismecolombo@vpa.ac.lk
  3. If you have any issues or queries regarding uploading or preparing your presentation, please contact- ismecolombo@vpa.ac.lk
  4. Videos that are not received by the deadline will be considered no-shows in accordance with the ISME – COLOMBO Conference policy. 

​FURTHER INSTRUCTIONS:  

  • We expect you to be present during screening of your presentation (time slots will be shared with you ahead of time) to follow all questions that will be written in the Zoom chatbox. You are encouraged to answer the Q&A section live. 
  • If, for any reason, you are unable to attend the conference in person, please let us know in advance. If possible, please share your WhatsApp numbers, Messenger address or other alternate ways to reach you in case of an emergency. 
  • Access to the conference with additional information and links will be provided closer to the date of the event.  
  • Please ensure that you have installed the latest version of ZOOM. 
  • All times in the program will be indicated in the local time zone i.e. Indian Standard Time – IST (GMT+5:30). We advise you to calculate your personal time zone using your own search engines.
